Missed calls
The coordinator dials, the patient is in a consult or on the metro, and the missed call is never returned. The 4:30 PM slot stays empty because nobody picked up.
Official WhatsApp Business API · Built for Indian clinics
Clinic desk is the WhatsApp inbox and visit board for skin, hair, and OPD clinics. Confirmations, T-24h and T-2h reminders, and today’s queue in one place.
Illustrated desks, not a customer logo wall. We publish a clinic name only with permission.
98%
WhatsApp messages are opened far more often than a missed call. Treat the figure as an industry range, not our measured result.
25–40%
Fewer no-shows is the planning range clinics use when reminder calls become two utility templates. Measure your own list.
24/7
Booking replies can land after the clinic closes. The thread is waiting on the desk in the morning.
1 inbox
The whole front desk shares one WhatsApp thread per patient, next to the visit.
The coordinator dials, the patient is in a consult or on the metro, and the missed call is never returned. The 4:30 PM slot stays empty because nobody picked up.
A peel booked three weeks ago is not on the patient’s mind. One utility reminder the day before, and one two hours before, is the whole job.
The register, a personal WhatsApp, and a paper token list disagree. The doctor asks who confirmed. Nobody can answer from one screen.
01
Use the clinic’s own WhatsApp Business number. No shared unofficial sender.
02
Doctor, slot, procedure, and patient land on the visit board.
03
T-24h and T-2h go out. Replies to confirm or reschedule stay on that visit.
Doctor, procedure, and reminder chip on the same row.
Queued, sent, read, and confirmed stay on the slot.
One thread for the desk, with the visit in the header.
YES marks the row. A new time is a person moving the slot, not a bot guessing.
Aftercare and the review date go out as utility templates, separate from offers.
Reception replies in the inbox. The clinic admin sees templates and billing. The access token stays with the platform operator. Staff do not share one personal phone.
Each step has a message the patient can answer. The board keeps the same visit underneath.

Generic WhatsApp tools win on large opted-in broadcasts and click-to-WhatsApp ads. Clinic desk wins when the job is tomorrow’s list. Compare with AiSensy, WATI, or Interakt.
| Clinic job | Clinic desk | Generic WhatsApp tools |
|---|---|---|
| Today's clinic calendar | Visit board with doctor columns | Not the product. Often a separate calendar. |
| Reminder status on the slot | Queued, Sent, Read, Confirmed, No-show | Campaign delivery, detached from the appointment |
| No-show on the visit | Marked on the slot the desk is running | Not a first-class clinic status |
| Patient context in the thread | Visit, doctor, and procedure next to the chat | Contact fields and tags |
| Dermatology and dental templates | Utility templates for sessions, recalls, aftercare | Generic marketing templates |
| Shared WhatsApp inbox | Yes, for the whole desk | Yes |
| Official WhatsApp Business API | Yes. Clinic's own number. | Yes, if the vendor is a real BSP |
| Broadcasts to opted-in lists | Available, not the reason to buy | This is the core product |
| Click-to-WhatsApp ads | Not the focus | Often a strength |
Utility reminders and marketing offers are different templates. Meta approves them. We do not bypass that review.
Each send stores purpose and delivery state. Staff can see what the patient received.
Reception does not edit WhatsApp credentials. Clinic admins do not need the access token to run the day.
We do not drive WhatsApp Web, a shared SIM, or a modified client. If Meta would not allow it, we do not ship it.
These are illustrative outcomes for the workflow, not quotes from named customers. We add a clinic’s name only with permission.
No-shows 28% → 11%
The afternoon laser list used to depend on three reminder calls. The board now shows who read the T-24h note and who still needs a human call before 4:30 PM.

Confirm and reschedule sit on the WhatsApp thread. The coordinator stops redialling patients who already replied, and the token list matches the inbox.

Recall visits booked from the thread
A six-month recall is a utility template, not a festival offer. Patients reply on the same number they use for the chair, and the front desk sees the slot update.

WhatsApp bills the clinic directly. Example India rates we show for planning, not as our price: utility about ₹0.115, marketing about ₹0.8631. Those numbers are Meta’s, and Meta can change them.
No. The desk is the front-desk system for visits and patient replies. Appointment reminders, confirmations, and after-visit notes are utility templates tied to a slot. Broadcasts exist for opted-in lists, and they are not the product.
No. Patients stay on WhatsApp. The clinic uses the official WhatsApp Business API number they already want patients to save. Staff work in the browser.
A utility template is a service message about a visit the patient already has: confirmation, T-24h reminder, T-2h reminder, reschedule, aftercare. A marketing template is an offer or campaign. Meta prices them differently, and Clinic desk counts them separately so the desk bill and the Meta bill stay clear.
After a slot is on the board, the desk queues a utility reminder about 24 hours before the visit and another about 2 hours before. Staff see each message as Queued, Sent, Read, or Failed on that visit, not in a separate campaign report.
Yes. One shared WhatsApp inbox for the clinic. When a patient replies, the 24-hour service window opens and the desk can send a normal reply. Those replies are not billed as template messages.
STOP and similar opt-out words are recorded on the contact. Further template sends to that number are blocked. The desk can still show the conversation so the front desk knows why the reminder did not go.
WhatsApp (Meta) bills conversation charges to the clinic's WhatsApp Business account. Clinic desk does not mark those up. Our fee is a separate service fee on billable templates we send for you, capped each month. The invoice says this in plain language.
Yes, when that number can be registered on the official WhatsApp Business API. We do not ask you to message patients from a shared unofficial sender or a personal WhatsApp account.
Yes. Messages go through the WhatsApp Cloud API with the clinic's own phone number ID and token. There is no unofficial desktop sender, no scraped session, and no shared SIM box.
Reception staff see today's visits, patients, the inbox, and message counts. They do not see invoices or the access token. The clinic admin sees usage and issued invoices. Only the platform operator can edit the WhatsApp technical connection.
Staff who already have a login can open the desk. New clinics book 15 minutes and we send an invite. Messages stay on the official WhatsApp Business API.
